Program Coordinator

Reports to: Executive Director

Summary:

The Program Coordinator oversees daily operations, ensuring the delivery of high-quality adult day health services. This role focuses on coordinating participant care plans, fostering community partnerships, and managing staff and volunteers.

Key Responsibilities:
  • Facilitate care plan meetings and ensure updates are timely and accurate.
  • Develop and maintain relationships with community partners, providing resources for families and participants.
  • Manage staff and volunteer schedules to ensure smooth operations.
  • Supervise and support staff to maintain compliance with certification standards.
  • Collaborate with healthcare professionals, families, and community partners.
  • Oversee participant admissions, assessments, and discharges.
  • Ensure compliance with health and safety standards, including emergency preparedness plans.
  • Maintain accurate records and reports as required.
  • Perform other duties as assigned by the supervisor to support the overall operations and mission of the center.
Qualifications 
  • Bachelor’s degree in social work, Healthcare Administration, or related field (preferred).
  • Minimum of 3 years of experience in adult day programs or vocational settings.
  • Strong problem-solving skills with the ability to prioritize and manage multiple tasks effectively.
  • Excellent interpersonal and communication skills.
  • Knowledge of adult day care regulations and certification standards.
  • CPR and First Aid certification.
  • Physical Requirements:
  • Ability to sit, stand, and walk for extended periods.
  • Capability to lift and carry up to 20 pounds occasionally.
  • Adept at performing tasks requiring fine motor skills, such as writing or typing.

Administrative Assistant

Reports to: Executive Director

Summary:

The Administrative Assistant manages daily administrative tasks, ensuring smooth operations and excellent customer service.

Key Responsibilities:
  • Greet visitors and answer phone calls in a professional and welcoming manner.
  • Maintain participant files and ensure accurate documentation.
  • Assist with scheduling, billing, and payroll tasks.
  • Support fundraising and marketing efforts as needed.
  • Order and maintain office supplies.
  • Perform other duties as assigned by the supervisor to support the overall operations and mission of the center.

Qualifications:

  • High school diploma or equivalent; Associate degree preferred.
  • Proficiency in Microsoft Office Suite and basic bookkeeping skills.
  • Excellent communication and organizational abilities.
  • Previous experience in a healthcare or nonprofit setting is a plus.
Physical Requirements:
  • Ability to sit for extended periods while managing clerical tasks.
  • Capability to lift up to 20 pounds occasionally for filing or office organization.
Maintenance/Janitorial Manager

Reports to: Executive Director

Summary:

The Maintenance/Janitorial Manager will oversee the cleanliness, maintenance, and safety of the facility, ensuring a welcoming and hazard-free environment for participants, staff, and visitors.

Key Responsibilities:
  • Supervise daily cleaning and maintenance tasks to ensure a safe and sanitary facility.
  • Perform routine maintenance and repairs for building systems, equipment, and grounds.
  • Conduct regular safety inspections and address any hazards or deficiencies promptly.
  • Develop and implement a maintenance schedule for HVAC systems, plumbing, electrical, and other key areas.
  • Maintain inventory of cleaning and maintenance supplies and reorder, as necessary.
  • Coordinate with external contractors for specialized repairs or projects.
  • Ensure compliance with local, state, and federal safety and sanitation regulations.
  • Perform other duties as assigned by the supervisor to support the overall operations and mission of the center.
Qualifications:
  • High school diploma or equivalent; vocational or technical training in maintenance preferred.
  • Minimum of 3 years of experience in facility maintenance or a related role.
  • Strong knowledge of building systems and safety standards.
  • Ability to lift heavy objects and operate maintenance equipment.
  • Effective organizational and communication skills.
Physical Requirements:
  • Capability to lift, push, or pull up to 50 pounds.
  • Ability to perform physical tasks such as climbing, bending, and kneeling regularly.
  • Comfortable operating or cleaning maintenance equipment.
